Stock statuses allow you to identify stock which is in a specific condition on arrival, or which changes to a different condition during the time it is stored. A stock status can be applied to a product on receipt or via the adjustments option.
The concept of ‘good stock’ is sometimes used in storage operations to identify stock which is good i.e. which can be despatched to a customer. ProSKU does not need a ‘good’ stock status. Any stock which does not have a status is deemed to be ‘good’ stock.
What this means is that stock with a status will by default not be picked. However if you wish to pick stock with a specific status you can simply enter the status on the order when you create the order line.
To create a stock status, click ‘Company Setup>Stock status’. Any existing stock statuses will be displayed on screen. If there are no existing statuses ‘No Stock Statuses Found’ is displayed.
To create a new one click the ‘New Stock Status’ button on the right of the screen or on the ’new’ line.
A mandatory field is displayed for you to enter the name of the stock status.
Once you have entered a name click ‘Create Stock Status’ and the new status is then displayed on screen. A delete function is provided if the code is no longer required.
Temporary Stock Status
A ‘temporary’ stock status is slightly different to the stock status described above, and can be used for a different function. A temporary stock status is one that is created either at the point of receipt, or at the point of creating an order in the system.
The reason for using a temporary stock status at receipt is to identify goods that are being received and which are to be reserved against a specific order, or for a specific customer.
The reason for using a temporary stock status at the point of order creation is to identify specific goods to be added to the order which have been, or will be received under a temporary stock status. (New Picture 1 Needed Below)
As a temporary stock status is created only in the two instances above it is not possible to create one through the Stock Status option. However any temporary status in use will be displayed to the right of the same screen, as shown in the screenshot above.
Creating a Temporary Stock Status at Receipt
The receipt process is used in the normal way. Once a receipt line has been entered a status can be selected and applied to it. The screenshot below shows a selection of statuses available, permanent above, and temporary below. A number of temporary stock statuses are shown in this case. This can be because a status has already been created on an order against which stock is to be received. It can also be that the system still holds stock with those statuses, so they can be re-used if necessary. However if you want to create a new temporary stock status then selecting the ‘Custom’ option will present a field in which a new temporary status can be created. This will then be applied to the receipt line.

Creating a Temporary Stock Status at Order
The order process is used in the normal way. Once an order line has been entered a status can be selected and applied to it. The screenshot below shows the same selection of statuses as the previous example for receipts, and again you can either use an existing one or use the ‘Custom’ option to create a new one. When the status has been assigned it means that the order can only be processed if stock of the same status is available, or stock is subsequently received and given the same status.
The main purpose of the function as stated before is to match stock on an order with stock being received. The system allows you to initiate this either at the point of receipt by assigning a temporary status (in effect to reserve it) or by assigning one at the point of order, in effect to specify the stock you expect to receive. A temporary stock status will be deleted from the system once there is no longer any stock held with that status, and provided that there are no outstanding orders with that status attached to them.
